Reading VII: HOTEL INFORMATION
I just received an email from Tia Zimmerer at the Morgantown Holiday Inn.
She is offering us a rate of $74.00 per night, plus tax for rooms on the dates we have selected. The rate is $4.05 higher than last year (possibly due to increased fuel costs and other measures beyond their control). She assured me that in trying to keep our business, that this was the best she could do. (As with last year's rates from both hotels, the week after Easter is more expensive than the week before) The rate for this year's meet is $74.00, plus 11% tax ($8.14) for a total of $82.14/night As a point of reference, last year we paid $69.95, plus 11% tax, ($7.69) for a total of $77.64/night. Before I accept this and ask for a room contract, I want to know if this is acceptable to the members planning to attend. The sooner we sign the contract, the better for securing our dates. I personally feel that this is a fair price. As I have done in the past, once a contract is signed, I will provide the additional information on reservations, codes, etc. .

Basicaly Im fine with whatever the rate may be, but before anything is finalized with Morgantown, you may want to consider geting a rate quote from the other location as well, as the cost may influence some people to come or not.
edit: with just a quick search, the Lancaster H-I list the same basic room for $2 less a night then the Morgantown H-I, so they may be willing to give us a better deal on a block of rooms as well.

When I started the hotel preference poll, everyone who signed up on the Reading VII list had a chance to vote on where they wanted to go. When the vote approached 6 to 1, in favor of Morgantown, I felt that was the hotel of preference by those voting, the rest had no real preference.
As of this evening, there are 41 members committed to Reading VII, but only 3 want to go back to Lancaster. Last year, Lancaster reluctantly had to be "talked down" to a lower price, from the very expensive quote we first received from them. Plus I was never really comfortable with the "come hang out with us 'cause the hotel owner was an SVX owner" thing they ran on us. In two years there, we never saw or met the owner, or laid eyes on his SVX. I would have thought he would be proud to show us his car, or at least be curious enough to see all of ours and introduce himself. And then there is their weird parking lot, the Greyhound bus stop 4 times a day, etc. Remember last years thread on Post-Reading Six comments? I emailed these to Morgantown so they could have time to address these issues. Even back then, no one suggested returning to Lancaster. In short, it seemed to me that there simply was not enough interest in Lancaster/Denver to warrant wasting their time and ours in getting quotes for the next meet. If the votes on the poll were even remotely close to 50/50. I would gladly have contacted both hotels and let the prices be one of the determining factors. If I am missing something here, please don't hesitate to corrrect my faulty thinking. .

Like I said, it doesn't really matter to me which of the hotels we are at, the only reason I even suggested to check rates for both is (even if it is only a small difference) money may be a factor for some who haven't seen the poll or aren't likely to think about commiting til closer to the actual date, and if going to what may be the "less popular" hotel gives us a bigger/better turn-out, we'd (imho) be better off there.

Rate sounds fine to me as well. I'll probably only need a Saturday night though. Will probably drive up early Saturday morning to be there for all of Saturday's festivities!!!

I just got off the phone with Tia Zimmerer, Group sales representative at the Morgantown Holiday Inn, officially confirming our intention for them to host the Reading VII meet, Friday-Sunday, April 21, 22, 23, 2006
I asked asking 35 rooms. 30 rooms will have the two queen beds, with 1-4 people per room, and 5 rooms with king beds. She will do her best to locate all of us in the same section. If we need to we can add rooms as necessary. She has also reassured me that our concerns from last year were addressed. There will be a choice at breakfast; either buffet or ala carte. The bar will be open until midnight, and later if there is business to support it. Housekeeping issues have been resolved. The only thing still a little unsure at this point is whether the hotel will be open for lunch. She will be sending me the contract and the code to use when contacting the hotel for our special rate. Once the contract is finalized, I will let everyone know. It is then YOUR responsibility to call 1-800-339-0264 and give them your room requests and the code for the club rate. For what its worth, I also contacted Lancaster HI for a quote. All new people there now. John Hutchinson (manager) and Tara (group sales rep) are no longer there. If I get a quote back form them that is significantly lower from Morgantown's rate. I'll hold off signing and let you know.
