Organizing Your Records
Something I recently completed for my Claret:
I saw the method and care which Gordon/"processengr" used with his service records, so I figured I'd ditch the manila folders and get organized. Total purchase price for the binder, sheet protectors, and labels was <$15.

Good move Mike. I do the same thing with several books and clear protectors for maintenance, information, and pictures.

I have a service log in a 3-ring binder showing service performed, date and mileage, and (where applicable) when it should be performed again. Receipts are kept by date, segregated by year, in a filing cabinet.

As far a maintenance and what was done last, and when it needs to be serviced next, I use Excel. I have a worksheet for each car and have a list of all maintenance done on each of them. I find that this is the best for me for so many cars.

My receipts are all tucked away in chronological order in a filing cabinet at home, but I've also got a mini spiral notebook in the glovebox with date/mileage/cost of all repairs & maintenance. You never know when you'll need this stuff and I've always found it best to keep it with the car. It's come in handy more than once.
Nice work though. My filing cabinet is no where near as organized as that. I've noticed that the print always fades on these receipts, hence the backup in the car, do the clear sleeves help preserve the records?

Those crappy thermal-type register receipts wont last, regardless of storage method. About all you can do is photocopy or scan those.
The O'Reilly Auto Parts outlet here (maybe everywhere) still uses a pin-feed, dot matrix-type printer for their receipts. Those are much more enduring. My mechanic uses good old ballpoint on plain paper, printed work orders. (Too bad his handwriting is all but illegible.) dcb |

I organize mine chronologically in a loose leaf binder as well.
But for quick reference and an overall view, I type maintenance into an ongoing Word document. It is separated by year and includes service, shop, invoice number, mileage and date. Also lists major repairs and oil changes on the left side. This way I can quickly scan to see how many O2 sensors, sets of brakes, batteries, bearings, tires, etc. I have used. If I need something fixed under warranty, etc., I just call up that particular shop and give them an invoice number or date. They can also pull it from their records. This is the very first and eighth page. Currently I have 14 pages and counting .

Well I have a ton of paperwork from the last owners that needs a 3ring binder now....
He gave me 4 folders of receipts dating all the way back to the original window sticker. Great idea thanks! I am keeping a logbook of everything I do to the car in an excel spreadsheet. once the repair is done I will date them print out the part list attach it to the receipt. That way if it needs to be done again I will have it in the records. |
